The AI Tools I Actually Use in My Business (And How I Use Them)

Let’s keep this REAL.

There are a lot of AI tool lists out there.

Most of them feel like:

  • 25 tools you will never use

  • Random features you do not need

  • Things that sound cool but do nothing for your business

That is not what this is.

This is what I actually use.

Not everything available.

Just what works.

My Rule for Tools

If it does not:

I am not using it.

That filters out a lot.

1. ChatGPT (Core Tool)

This is the base of everything.

Not for random prompts.

For building actual tools.

How I use it:

  • Create custom GPTs for specific use cases

  • Build structured workflows

  • Turn repeat tasks into systems

This is where most of the leverage comes from.

2. Claude (For Longer Context and Thinking)

This is what I use when I need better reasoning or longer outputs.

Especially for:

  • Refining ideas

  • Reviewing content

  • Working through strategy

It handles depth better.

So I use it when I need more than quick output.

Here's a full comparison of ChatGPT vs Claude.

3. Notion (Organizing Everything)

This is where everything lives.

  • Ideas

  • Frameworks

  • Notes

  • Content

And more importantly, it is what I pull from when building tools.

Your tools are only as good as the thinking behind them.

This is where that thinking sits.

4. Loom (Quick Delivery and Explanation)

Not everything needs to be written.

Sometimes the fastest way to deliver value is a quick video.

I use Loom for:

  • Explaining outputs

  • Reviewing work

  • Adding context to AI-generated results

It pairs really well with AI tools.

5. Stripe / Gumroad (Getting Paid)

Simple.

You need a way to charge for what you build.

I keep this as straightforward as possible.

  • Payment link

  • Access

  • Done

No complicated setup.

6. Google Docs (Collaboration and Drafts)

Still using this.

Mainly for:

  • Sharing drafts

  • Collaborating with clients

  • Quick edits

Not everything needs to live inside AI tools.

How This All Fits Together

This is the part that matters.

Tools alone do nothing.

The system is what makes them useful.

Simple version:

Idea → Notion, Build → ChatGPT, Refine → Claude, Deliver → Loom, Sell → Stripe or Gumroad

That is the flow.

What I Am Not Using

Anything that:

  • Adds complexity without clear value

  • Requires too much setup

  • Does not connect to revenue or delivery

It is really easy to over-stack tools.

That is how things get messy fast.

If You Are Just Starting

You do not need all of this.

Start with:

  • ChatGPT

  • One way to get paid

That is enough to build and sell something.

Add more tools when you actually need them.

And once you try Claude, these 10 prompts will make it actually useful from day one.

Final Takeaway

You do not need more tools.

You need a better way to use the ones you already have.

That is where the real leverage is.
